Officer Roles and Responsibilities

President

Ø serves as Club's chief executive officer

Ø responsible for general supervision and operation of the Club

Ø presides at Club and Executive Committee meetings and directs the Club in a way which meets educational growth and leadership needs of members

Ø establishes long-term and short-term plans for Club growth

Vice President of Education

Ø planning successful Club meetings

Ø promotes Toastmasters educational program to Club members

Ø orients new members to the Toastmasters program and to the Club

Ø makes sure each new member is assigned a mentor

Ø all members understand the importance of excellent evaluations & know how to evaluate

Ø arranges for Speech craft, Success/Leadership, and Youth Leadership Programs to be conducted

Ø encourages members to participate in other Toastmasters activities and programs

Ø administers speech contests

Ø organizes a speakers bureau

Ø chairs the Education Committee

Ø attends and participates in Executive Committee meetings

Ø presides in the absence of the President

Ø attends and votes at Area and District Council Meetings

Ø votes at Regional and International business meetings

Vice President of Membership

Ø Plans, organizes, and implements a continuous marketing effort which ensures the Club maintains or exceeds 20 members.

Ø work w/ groups inside & outside of Toastmasters to promote Club membership retention

Ø Helps prepare the semiannual membership report (incl. membership list + dues payment) to World Headquarters.

Ø provides for recognition of members who contribute to the increase of membership to Toastmasters International

Ø maintains an accurate membership roster and attendance records

Ø serves as chairman of Club Membership Committee

Ø attends and participates in Executive Committee meetings

Vice President of Public Relations

Ø develops, implements, and administers a publicity program that maintains a positive image of Toastmasters International for all members, guests, and the general public

Ø responsible for internal and external public relations for the Club

Ø preparing and distributing news releases regarding Club activities

Ø publicizing Club events

Ø working with Club officers to develop literature about the Club

Ø representing the Club to the media

Ø serving as chairman of the Public Relations Committee

Ø attending and participating in Executive Committee meetings

Secretary

Ø responsible for all Club records and correspondences

Ø keeps Club Constitution, Bylaws and other official Documents

Ø submits updated membership and officer records to World Headquarters

Ø prepares and mails orders for Toastmasters supplies

Ø records and reads minutes of Club and Executive Committee meetings

Ø circulate TIPS, Supply Catalog, and The Toastmaster Magazine during Club meetings

Ø attends and participates in Executive Committee meetings

Treasurer

Ø developing and executing financial policies, procedures, audits, and controls

Ø receives and disburses funds in payment of all obligations

Ø develops and recommends a budget to the Club Executive Committee

Ø notifies members of dues payable and collects dues

Ø presents a verbal and written financial report monthly

Ø submits club accounts for audit

Ø attends and participates in Executive Committee

Sergeant at Arms

Ø serves as master host and makes the proper physical arrangements for all Club meetings

Ø makes sure each member and guest is welcomed at Club meetings

Ø arranges room and equipment for each meeting

Ø arranges for food service at meal meetings

Ø collects ballots and tallies votes

Ø controls club property between meetings

Ø chairs the Social and Reception Committee

Ø attends and participates in Executive Committee Meetings
